Frequently Asked Questions

Questions, answered.

Everything you need to know before your first appointment — from how we work and what to expect, to fees, insurance, and your rights as a patient.

Getting Started

You can schedule a new patient consultation directly online. If you experience any difficulty, feel free to email info@drbiancabusch.com and we'll be happy to help.

→ Book a Consultation

Once your appointment is scheduled, you'll receive an email invitation to set up your account in the ChARM Patient Portal. Before your first visit, please complete the following in the portal:

  • Complete the Initial Evaluation intake form
  • Read and sign the Practice Policies and Consent form
  • Complete and sign the Release of Information form — include the names of your current or former therapist, psychiatrist, and primary care doctor
  • Upload any relevant neuropsychological testing reports or IEPs, if applicable
  • Add a credit card on file (required for all patients)
For parents of minor patients: Both Parent/Guardian #1 and Parent/Guardian #2 signatures are required on consent forms. Please plan accordingly before your child's first appointment.

Your initial evaluation lasts between 60 and 120 minutes. We'll spend that time getting to know your history, current concerns, and goals for treatment. This is a thorough, unhurried conversation — not a checklist.

Please note: the initial evaluation is not a guarantee that we will enter into an ongoing treatment relationship. It gives us both the opportunity to assess fit and develop a plan together.

We also rarely prescribe medication at the first visit, even if you have been on medication in the past. Our priority is understanding you fully before making any clinical recommendations.

Yes. Dr. Busch is a board-certified psychiatrist with specialized training in both adult and child/adolescent psychiatry. She sees:

  • Adults — including busy professionals navigating anxiety, depression, burnout, ADHD, and major life transitions
  • Children and Teenagers — for behavioral, emotional, and psychiatric concerns, with a family-centered approach
  • College Students — with particular expertise in academic performance, test anxiety, identity, and the transition to independence

Before scheduling a full evaluation, you're welcome to book a free 15-minute phone consultation. This is a brief, no-pressure conversation to help us both assess whether Dr. Busch's practice is a good fit for your needs.

To make the most of this time, please complete the Welcome! Initial Consultation form prior to the call.

Appointments & Care

Yes. Dr. Busch offers in-person appointments at her DFW-area location:

  • 603 Strada Circle, Suite 109, Mansfield, TX 76063

Home visits in the DFW area are also available when clinically appropriate — please inquire for pricing and availability.

Most sessions are conducted via a HIPAA-compliant video conferencing system. Telehealth may be a good fit if:

  • You are located in CA, CO, CT, DC, GA, IL, MA, MD, NY, OH, OK, PA, or TX
  • You maintain regular contact with a primary care doctor, pediatrician, or therapist
  • You can provide two emergency contact persons
  • You are able to attend sessions from a private, quiet, distraction-free location

Following the initial evaluation, ongoing sessions are scheduled based on your individual treatment plan:

  • Medication management (pharmacotherapy): 15, 25, or 50 minutes
  • Psychotherapy: 25 or 50 minutes
  • Psychotherapy with medication management (combined): 25 or 50 minutes
  • Parent sessions: 30–60 minutes

Frequency of appointments — weekly, biweekly, monthly, quarterly, or more often — depends on your clinical needs and is discussed collaboratively as part of your treatment plan.

If you arrive late, sessions will still conclude at the scheduled end time. If significantly late, you may need to reschedule and will be charged the full session fee.

Dr. Busch offers focused, evidence-based psychotherapy grounded in psychodynamic, cognitive-behavioral (CBT), and acceptance-based (ACT) approaches. Her style is warm, active, and insight-oriented — sessions explore the deeper patterns that influence how you think, feel, and respond to stress, while also developing practical tools for lasting change.

Many patients are students and busy professionals who value both depth and efficiency. The 25-minute format is structured, goal-directed, and well-suited for individuals who are motivated and ready to apply insights between sessions.

Treatment length varies significantly based on your diagnosis, goals, and progress. It can range from a few months to several years. Dr. Busch will share her clinical recommendation after your initial evaluation and will revisit this with you regularly as your treatment evolves.

You are never required to continue treatment at this practice — you may withdraw at any time. If you are considering ending care, we encourage a conversation so that we can discuss any clinical considerations and ensure a thoughtful transition.

Controlled substances — including stimulants for ADHD and some sleep or anxiety medications — can only be prescribed after an in-person evaluation, in compliance with the 2008 Ryan Haight Act.

For patients in the Dallas-Fort Worth area, in-person evaluations are available at our Mansfield location. For patients outside DFW, if a stimulant or controlled substance appears appropriate after a virtual evaluation, Dr. Busch will communicate her clinical recommendation to your primary care physician, who may prescribe at their discretion.

For non-urgent questions and prescription refill requests, please use the secure messaging feature in the ChARM Patient Portal. This is the fastest and most secure way to reach us. You may also call (617) 665-7832 and leave a message — we aim to return calls within one business day.

This practice does not provide urgent, crisis, or after-hours care. In the event of an emergency or crisis, call 911 or go to your nearest emergency department. Do not use email, text, or social media to communicate urgent needs.

Fees are subject to change and may increase approximately 5% annually. All fees are due at the time of service.

We do not participate in any insurance plans. This is an intentional choice that allows for greater privacy, flexibility in treatment planning, and scheduling freedom — without insurance companies dictating the type, frequency, or duration of your care.

All major credit cards and HSA funds are accepted. Patients are responsible for all fees at the time of service, regardless of insurance coverage.

Many patients with out-of-network benefits receive significant reimbursement — often 20–90% of fees — by submitting a Superbill to their insurance company. See below for details on how that process works.

A Superbill is a detailed receipt that includes all the information your insurance company needs to process an out-of-network reimbursement claim — including diagnosis codes, CPT service codes, dates of service, and fees paid.

We provide a Superbill after every visit. You can submit it directly to your insurance company for possible reimbursement. Here's how to get started:

  1. Call the member services number on your insurance card and ask: "Do I have out-of-network mental health or psychiatric benefits?"
  2. Ask what your out-of-network deductible is, and how much of it you've met
  3. Ask for the reimbursement rate for the CPT codes listed below
  4. Ask if prior authorization is required for out-of-network psychiatric services
  5. Submit the Superbill to your insurer after each visit — many now allow online or app submission
Note: If your insurer requests additional clinical information (diagnosis, treatment plan, progress notes), we will discuss what information is to be shared and obtain your written permission before releasing anything. Insurance companies are required to keep this information confidential, though some may share information with national data banks.

When contacting your insurance company or submitting a Superbill, reference the following CPT codes:

Service CPT Code(s)
Initial Psychiatric Evaluation 90792
Medication Management (follow-up) 99213 / 99214 / 99215 (based on complexity) + 90833
Psychotherapy (30 min) 90832
Psychotherapy (45–50 min) 90834
Combined Therapy + Medication Management 90833 or 90838
Parent Session 90846

Your monthly statement will include all codes and fees needed for out-of-network claims submission.

Your Right to a Good Faith Estimate

Under the No Surprises Act (effective January 1, 2022), you have the right to receive a Good Faith Estimate of expected costs before your first appointment or upon request.

Because care provided by Dr. Busch is out-of-network for all insurance carriers, services will likely cost more than seeing an in-network provider. You are not required to receive care here.

Your Good Faith Estimate will outline the expected cost of services based on the type of care recommended and the anticipated frequency of visits. You can request one at any time by contacting us at (617) 665-7832.

For more information about your rights under federal law, visit cms.gov/nosurprises.

To give you a sense of potential costs — these are estimates only, as every patient's treatment plan is individualized:

Scenario Estimated 12-Month Cost
Medication management only (bimonthly visits)$600–$1,200 (initial) + ~$3,600/yr
Psychotherapy (biweekly, 50 min)~$14,400/yr
Psychotherapy (weekly, 50 min)~$28,800/yr

Questions about this estimate? Contact us at (617) 383-4405 or info@drbiancabusch.com.

Billing & Payments

All services are billed 24-48 hours prior to the time of service. We require a credit card on file for all patients — this is set up securely through the ChARM Patient Portal and is HIPAA-compliant. Your card will be charged within 48 hours of your appointment.

At the end of each month, you'll receive a detailed statement listing all services rendered and payments received. This statement includes all information needed to submit an out-of-network claim to your insurer.

Your appointment time is reserved exclusively for you. If you need to cancel or reschedule, please do so at least 48 hours (2 business days) in advance.

Cancellations made with less than 48 hours' notice will be charged the full session fee. Exceptions are made only for genuine medical emergencies.

Prescriptions are typically refilled at the time of your scheduled appointment. If you run out of medication before your next visit, you can request a refill through the ChARM Patient Portal — this is the fastest method. You may also have your pharmacy fax a refill request, though this is typically slower.

Please allow 2 business days for refill requests to be processed. If your condition requires monitoring and it has been longer than recommended since your last appointment, Dr. Busch may require a visit before refilling — and will typically provide enough medication to cover until that appointment.

Policies & Privacy

Yes. All information shared in the course of your care is strictly confidential. Your records will not be shared without your written consent, with the following legally required exceptions:

  • Suspected abuse or neglect of a minor, elder, or dependent individual
  • Imminent danger of harm to yourself or another person
  • A credible, specific threat of physical violence against an identified person
  • A parent or guardian is unable to provide for a child's basic needs
  • Records ordered to be released by a court
  • As otherwise required by law

Note that information shared by minors is also strictly confidential and will not be shared with caregivers except under the circumstances above.

No — not without your explicit written permission. Dr. Busch will only communicate with your parents, guardians, or other parties if you have signed a Release of Information form authorizing that communication.

Gathering information from a parent or guardian about your early life can be clinically helpful. If you choose to allow this, Dr. Busch will not disclose your confidential information to them in that process — it is a one-directional information gathering conversation.

Communication with parents is governed by your child's consent. Dr. Busch will only speak with parents if the patient has signed a Release of Information form.

When consent is granted, Dr. Busch will meet with parents as part of the initial evaluation to gather information about early development. With your student's ongoing consent, quarterly progress updates can be provided.

For patients who are minors (under 18), parental involvement is more standard — this will be discussed clearly at the start of treatment and outlined in your consent forms.

The preferred and most secure method of communication is the ChARM Patient Portal. You can use this for non-urgent questions, prescription refill requests, and scheduling.

You may also call (617) 665-7832. We return calls within one business day. When Dr. Busch is away from the practice, her voicemail will direct you to the covering provider.

Because standard email and text message are not HIPAA-secure, please use those channels for scheduling purposes only — never for clinical information or urgent matters.

Dr. Busch does not accept friend requests or follow patients or their family members on personal social media accounts.

The practice maintains professional social media accounts that are open to the general public. By following or "liking" these accounts, others may be able to see that you follow them — please keep this in mind if privacy is a concern.

Please do not contact Dr. Busch via social media for clinical matters — these channels are not monitored for urgent needs and are not HIPAA-secure. If you leave a review on Google, Yelp, or Healthgrades, we encourage you to use a pseudonym and omit any personally identifying details to protect your own confidentiality.

Records are maintained electronically through ChARM, a HIPAA-compliant electronic health record platform. All records are password-protected and accessible only to Dr. Busch.

You have the right to request a copy of your records at any time. Records sent to other mental health providers, primary care physicians, or for educational evaluations are provided free of charge. Records requested for personal or legal purposes are charged on a per-page basis.

If you believe there is a factual error in your record, you may request that it be corrected.
